We are looking for an Administrative Assistant for a 6 month contract to work in the ESA Corporate Communication Office located in Darmstadt, Germany. The European Space Operations Centre ESOC operates prestigious planetary and Earth observation satellites. To work in this exciting and fastpaced European communications environment, the applicant should, preferably, have previous experience in working in a similar environment. Tasks and Responsibilities Wide range of general office administrative duties including maintenance of the database for media and VIPs, including sending out of invitations, followup on failure reports updates, maintenance of PR Activity List and synchronisation with diverse calendars, maintaining the Team filing system, taking down actions during team meetings and ensuring proper followup of actions assigned to the Team, composing and typing of routine correspondence, presentations and documents, handling of all incoming mail telephone calls, preparation, recording absenteeism of staff and contractors wrt annual leave, home leave, sick leave and missions Lotus Notes agenda and holiday chart maintaining and ordering office supplies maintaining stock of ESA information material brochures, DVDs, posters, etc., shipping information material to various offsite requests schools, exhibitions, conferences, etc Handling of visits and lectures and monitoring of all regular and exceptional visits to ESOC Organisation of meetings, including booking of appropriate communication equipment and reception and preparing for external visitors Internal Communication Activities which include publishing announcements on the ESOC information screens on a daily basis, publishing articles on the ESOC Intranet, sending newsflashes to all staff for intranet stories Support to organisation of ESOC events sending out of invitations, followup of guest lists, providing hostesses andor interpreters, providing and packing of information material, booking of rooms, preparation and distribution of badges, preparation of way signs, telephone lists and other relevant information Experience and education Should have a good general education to completed secondary level and training in a secretarial college leading to a high proficiency certificate or equivalent as executive secretary Excellent in interpersonal and communication skills, as well as very good qualities of order, method, tact, initiative and in particular discretion are required Proficiency in the use of modern electronics office automation tools in particular Lotus Notes, Microsoft Office, IPS Publishing Native German, fluency in the English language are a prerequisite knowledge of another European member state language would be an asset High level of flexibility as well as initiative and team spirit Capacity to identify priority actions and handle high workload Ability to cope with stress and demonstrated flexibility and reliability in stressful situations Familiarity with ESA working environment is a distinct advantage.
