Specific Tasks The post holder will contribute to the smooth operations of the Directorate and to the efficient management of its resources and technical infrastructure, with particular emphasis on the control and administrative support functions necessary to execute programmes, projects and activities under the responsibility of the Directorate. The post holder will be assigned to the Programme and Project Control Service under the direct responsibility of a Business Control and Administration Manager BCAM, with the following tasks Assist the responsible BCAM in o Coordinating internal resources and activities o Interfacing with line management and stake holders o Following up specific actions o Performing analysis and preparing reports and presentation material as necessary Contribute to the preparation of management and coordination meetings and support them on an adhoc basis Monitor the implementation of activities in the assigned domains e.g. projects, studies, technology programmes, infrastructure, third party sales, EU funded initiatives, etc. and the related financial envelops, identifying deviations and reporting on the main causes. Typical controlling tasks include drill down reporting, statistical analysis and trend analysis Support the implementation of a proactive control function, including proper cost and schedule planning, with regular reporting and related midterm reviews and facilitate the timely initiation of the agreed workprocurement plans and the related inventory and asset management functions Ensure all processes documentation is in place and up to date and provide the necessary support and training to colleagues and newcomers Collaborate in the continuous improvement of the existing processes, methods and tools Assist in the creation and monitoring of diverse annual procurement plans in coordination with Departments line management. Monthly management reporting on resource usage, programme implementation and execution. Specific CompetenceRequirements Msc. Engineering or equivalent or MBA or equivalent University degree from a recognised Institution of secondary studies or equivalent qualification in Business Administration or Communicationsas relevant At least 4 years of previous relevant working experience in the field Excellent analytical, organisational and reporting skills, a proactive attitude to solving problems and a solid proficiency in IT tools Ability to manage large and complex data sets and to synthesise information Excellent interpersonal and communication skills and customer focus Ability to work autonomously, effectively and cooperatively in a diverse and international team environmen Good command of English written and oral. Quick learner, diligent and accurate. Service orientated Familiarity the Agencys practices and processes and with SAP would be a distinct advantage. Inventory Management desired.
