Job Description Highly competitive salary Corporate Benefits Package Relocation Assistance if applicable Further information available from the Serco Europe Recruitment Team Main Responsibilities The successful candidate will concentrate hisher activities on the following tasks Populate the lists provided by the Customer following specific guidelines in order to prepare a catalogue Identify folders to be destroyed and Prepare destructions forms based on record schedules and instructions Data entry on tools used to manage the catalogue training will be provided Report on issues encountered and points of attention Attend weekly progress meeting The Ideal Candidate The ideal candidate should bring the following skills and experience Knowledge of MS tools and office Secondary education is required, experience working in archives would be an advantage Strong interpersonal skills, selfmotivation and ability to work independently Fluent spoken and written English, knowledge of French and German is an asset Important Any offer of employment is contingent upon you providing documents to verify your identity and employment eligibility, as required by law. Package description Full details on application. Main responsibilitie For our activities in ESOC, we are currently looking for a Documentalist Librarian. The role will be offered initially as a fixedterm contract with a duration of 18 months, with possibility of extension. The Key Person will be in charge of the overall maintenance and administration of the Documentation system and of ensuring a satisfactory service to the end users according to the respective procedures. Additionally, shehe will be involved in the planning and replanning of yearly activities, the proactive management of all users of the service missions in preparation and in flight, and will be coordinating with the team regarding the upcoming Flight Operation Procedures FOP updates requirements. Furthermore, the successful candidate will be in charge of Maintaining the request schedule of FOP Updates Constant updating all necessary documents that the Flight Control Team need prior a FOP release Maintaining distribution lists for future updates Publishing creating, editing, comparing, converting, exporting the FOP using specialized applications software Printing to paper the FOP to specific criteria Making use of the ESA reproduction services Distributing the FOP paper copies on site During a launch campaign preparing Launch Folders collecting data, compile it into folders, making approximate 20 copies and distributing it on site according to the Flight Operations Director requirements Constantly improving the FOP generation techniques Periodically running consistency checks of the FOP. Additionally, the Key Person might have the following tasks Interfacing with the technical responsible and any subsequent staff reporting to the technical responsible in order to get any necessary detail on how and where to store any document, if not sufficiently defined as part of the applicable ESA procedures Manually inserting any documents into the DMSECLIPSE i.e. both Documentation Management Systems and Sharepoint as per applicable specification Distributing any new document in the DMSECLIPSE to the corresponding list of addresses Archiving of any document in the archive repository as per applicable specification Regularly reviewing the status of any document in the different archive repositories under the responsibility of the technical responsible Registering the information pertaining to any document archived into the DMSECLIPSE according to applicable procedures or dedicated specification Creating and storing an electronic version of any nonelectronic document as per applicable specification Providing a print out of any electronic document as per applicable specification Creating electronic versions of documents as per applicable specification Making use of ESA pigeonholes Making use of the ESA archive storage solution Keeping all documents for the whole duration of the service, unless otherwise specified Ensuring that all documents are available to auditors within 4 hours from the request Providing tracking lists of the archived documents Providing inputexplanations to both ESA internal auditors as well as external auditors, upon request Defining, producing and maintaining in a repository accessible by ESA all the procedures necessary to provide the service. Client and Location For one of our main customers ESAESTEC, we are currently looking for a Documentaliste Librarian who will give support to the Navigation Directorate onsite at ESTEC. Tasks and Responsibilities The task covers the daily operation, maintenance and change control for records in the Navigation Directorates Documentation and Configuration Management System. This includes the participation in and to support improvements of the processes related to the use of electronic documentation and configuration systems, management tools e.g. for action tracking and other relevant IT tools. The documentation and configuration tasks are rendered by the CADM Office to given programmes, projects and specific organizational entities within the Navigation Directorate. It includes the following regular duties in particular Document registration, distribution and archiving, as well as provision of reproduction services of documents and media Regular review of the status of documents in the different archive and storage locations and align this information in the Documentation and Configuration Management System database Processing configuration controlled document changes and official papers relevant to the activities of the unit Generation and maintenance of documentation and configuration tracking lists Support to the management of the User Account List to the Directorates servers and services Support to users for entering and retrieving documents from various Documentation and Configuration Management related server systems internally and externally Liaising with industrial partners CADM officers and documentalists for exchanging data and resolving documentation and configuration related issues Provision of paper copies of electronic documents on request, creation of electronic versions of documents and management of original files Support to all documentation and configuration related tasks for technical and nontechnical reviews Support to the Directorate Document Records Officer DDRO in discharging relevant functions. The above tasks must be implemented in line with applicable Directorates Configuration Management processes and standards in close collaboration with relevant CM authorities. Experience and Education The Specific Competence Requirements are defined as per WP are extended and detailed as follows University degree Bachelor from a recognized Institution of secondary studies or equivalent qualification in Business Administration or Communications as relevant, with typically 4 years of relevant experience. The work associated to this position can require handling of classified documentation. The candidate shall confirm to be eligible and willing to apply to a Personal Security Clearance. The previous possession of a Personal Security Clearance will be considered positively.
