Main responsibilities Tasks and Responsibilities The key person shall work in the Facility Management Request Back Office as part of an international team and to provide support as follows Logging of the request Allocation of the request to the applicable Third Party Ensuring correct allocation through immediate followup and, if required, reallocation Feedback to user concerning expected deliveryfix time Progress monitoring of applicable Third Party Request closure confirmation from Third Party and user Telephone switchboard duties. Ideal candidate Fluency in English and good command of both German and French is required. Responsibilities You will be assigned to ESAESTECs Quality Assurance and Management Section within the Directorate of Technical and Quality Management. This position concerns support related to the development, implementation and maintenance of the ESA Administration Area ISO 9001 Management System. The scope of the work to be performed covers Determining the organisations requirements for documented processes, and the levels of detail necessary for implementation in compliance with Agencywide processes and applicable international standards. Defining, documenting, deploying and supporting the organisations processes, including mappingmodelling and describing them in a way that can be useful for understanding how the organisation operates, and can be applied as guidelines for the performance of daytoday work. Assessing the organisations existing processes for their efficiency, coherency within themselves and between different domains, analysing gaps, and developing improved processes. The scope of activities include the review and harmonisation of existing practices, documentation, workflows, optimisation of IT tools used supporting the processes, andor introduction of new tools as appropriate. The initial specific responsibilities and duties include Define and document the organisations processes and update the existing processes Monitor the status of the audit findings and make sure corrective actions are put in place Support the preparation of the Administration Area QMS Management review Lead the nonconformance review boards in the Facility Management domain analyze the nonconformances, review the corrective preventive actions Analyze the complaints in the Facility Management domain and issue complaint reports to the customers Support the user surveys implementation, the analysis and monitor the improvement plans Provide quality assurance support to projects and services Train the Administration Area Staff to the Quality Management System and maintain the training material Prepare and conduct quality audits. The responsibilities are to be discharged in close collaboration with the performers of the business functions by means of workshops, interviews and brainstorming sessions. This is a full time position located at ESTEC, Noordwijk, The Netherlands. The requested start of work is July 2018 or as soon as possible thereafter. Qualifications Competencies The successful candidate shall have A Masters Degree in Industrial Engineering, Economic andor Business Administration. A minimum of 4 years of relevant professional working experience preferably in the space domain knowledge of engineering concepts is an advantage. Experience in the definition, implementation and certification of quality management systems in conformance to ISO 9001 Experience working with ISO 14001, OHSAS 18001 and ISO 27001 Experience in facility management processes Good organization and communication capabilities.
