Exhibition and Events Coordinator, based at the European Space Agency HQ, Paris, France Sercos space heritage over the last 40 years has placed us in the Space News Top 50 Space Industry Manufacturing and Services Companies. For our activities in the European Space Agency, we are currently seeking an Exhibition and Events Coordinator to support the ESA HQ Communications Office for the organisation and follow up of institutional and public exhibitions and events in international environments. Your involvement could be required in any or all of the following Daily contacts with exhibition and event organisers and follow up of the organisation Assisting with planning of the exhibitions and events preparation steps Daily monitoring of the coordination of the various parties involved Contractors, European Institutions in ESA Member States, local authorities, Museums and other public entities Revision of texts and images for exhibitions and events Presence at the ESA exhibitions and events for their monitoring and running Management of the ESA highlights standard exhibition material Implementation and follow up of budgetary and procurement actions for exhibitions and events Input ESA will provide to the contract service manager at the beginning of each year a list of the expected upcoming communication activities for which this service is to provide. This list of expected upcoming communication activities will be updated on a quarterly basis and when required. Deliverables Reporting on contacts status and possible problems and opportunities weekly Updated plans of preparation of exhibitions and events and related procurement weekly Effective support on the site of the exhibitions and events as requested Revised texts and images for multimedia supports as requested Purchase Orders, POs, Goods Received Notice, GRNs, procurement status reports weekly Report on ESA highlights standard material utilisation quarterly Qualifications and Requirements Applicants require to have attaining a degree in a relevant subject, already have a number of years working experience in the Events and Exhibition environment together with the following essential skills Excellent communication skills Excellent knowledge of international exhibitions Excellent organisational skills in an international environment Capacity to identify priority actions and to keep high quality of work under pressure Good knowledge of ESA Space programmes and missions Able to take responsibilities and work in an autonomous way Familiarity with modem office automation tools and techniques, particularly Microsoft office Proficient in French, English and German Knowledge of accounting Experience as a user of SAP Ability to travel to support exhibitions and events as required Desirable Skills Previous experience supporting ESA events and exhibitions is an asset. Knowledge of ESA corporate applications is an asset Previous experience in a service type environment is an asset Key Performance Indicators This will be part of a, three person, team delivering a service performance it will be monitored via the following KPIs, provided by the service manager to ESA on a monthly basis Number of PhotosCopyrights requests directly handled target 1500 annual average Number of PhotosVideos shooting produced target 20 annual average Number of PhotosVideos distributed target 1000 annual average Number of internal per ESA directorate requests treated target 1000 annual average Number of files downloaded by journalists per domain target 3000 annual average The service quality will be monitored by the customer, ESA, rated on a scale of 1 to 10, 7 being the minimum acceptable value, against the following criteria Quality and timely presentation of deliverables Punctuality Understanding of objectives Capability of interacting with ESA staff and suppliers Overall appraisal of service quality Application procedure If you are interested in this vacancy, and think you have the right skills and experience, please apply via the URL below. httpswww.amris.comsercorequirementdisplay.php?refSearchrequirementid47009 Your application will be sent directly to the recruitment team responsibly for this opportunity information will be handled in the strictest confidence.
