For our activities in ESOC, we are currently looking for a Management Assistant to the ESA ISS Interagency with a fixed term contract until end of December 2016 with possibilities of extending the contract. Main responsibilities Reporting directly to the Agencys ISS Interagency Coordinator, and in close cooperation with the Secretariat of the Director General and ESA Directors, you will be responsible for the Secretariat of the ISS Interagency Coordinator. Your duties and tasks will include Filtering correspondence and enquiries relevant to the position, synthesizing the information and preparing related dossiers and background documents, following up on actions, drafting of replies to correspondence and enquiries as appropriate Managing the schedule of the Manager, planning and coordinating meetings and commitments, including also coordination with the Offices of DG and ESA Directors as required and keeping the Manager informed of all issues of concern during his absence Ensuring the organisation of missions as well as preparing mission reimbursement requests Preparing files as background for meetings as well as taking and producing meeting minutes, as required Handling and keeping track of all incoming requests for participation in public relations events, including the analysis of relevance of requests in cooperation with ESA PR and Communications and ensuring the smooth organisation of the Managers participation in such events Acting as point of contact for event organisers, compiling event files with all necessary information, including liaising with various Departments for the preparation of content and proofreading presentations, as well as clarifying all logistical details prior to events Handling autograph requests, preparing signature files and drafting correspondence for the Manager. Ideal candidate As successful candidate you should bring a tertiary level education e.g. Bachelor Degree or short cycle university education or an equivalent qualification and at least two years of solid experience in the secretarial domain and in the area of administrative support. You should have the ability to handle confidential matters and assure a high level of discretion at all times, such as excellent communication and relationship management skills. Furthermore you are expected to have very strong planning and organisational skills as well as the ability to work under pressure and tight deadlines as well as being able to prioritize efficiently and effectively. Proficiency in the use of standard Microsoft Suite applications, Lotus Notes email and databases as well as SAP are required the knowledge of Agencyinternal software tools and applications is an asset. The working languages of the Agency are English and French. At a minimum, very good command, both verbal and written, of one of these languages, with preference for English, is required you should also be able to demonstrate a working knowledge of the other language.
