ContractERP Administrative Assistant

Position Reference 102 At RHEA Group, you will have the opportunity to work and learn in an exciting environment and to provide support in the Legal Contracts Administration Department. Tasks and Activities The scope of work will include General office management support, such as logistical support, typing, document review for content and format, filing, files maintenance, photocopying. Gathering from BUM budget sheet duly signed for each ContractProject, reviewing and implementing the budget in the ERP Planner. Assist with invoice processing update of the Invoice Plan, approval of proposed invoices, GRN process implementation. Prepare minor contract modifications in ERP for actions such as period of performance extension, connection of consultant on a specific Project, and other administrative modifications requested by the Business Unit Manager, the Contract Team or the Financial Team. Manage and maintain hard copy original contract files, conformed copy, and electronic copy within the Document Management System in place on RHEA GROUP level. Distribute contracts documents to internal and external parties. Prepare reports as directed by the Legal Counsel. Skills and Experience The following skills and experience are mandatory You are fluent in English and in French Level C1 written and spoken You have a good general education at least to higher secondary level or to secondary level complemented by training in administrative work andor finance. You have at least 3 years of professional experience. You have experience in creating, evaluating, and maintaining budgets in a strict budget environment. You have proven administrative skills, sound judgment, discretion, and a high degree of initiative, and high proficiency in MS Word, Excel, and Outlook, as well as the ability to produce accurate work under pressure, to adapt to changing deadlines, to contribute as a team player and to work with limited supervision in a very busy environment You have experience in using an Enterprise Resource Planning ERP system or at least have strong knowledge of standard Information Technology IT systems and software spread sheets, databases. You have advanced knowledge of MS Excel. You have a good knowledge of Document Management Systems SharePoint. You have demonstrated skills in data analysis and reporting. You have demonstrate courteous and effective communication within a diverse group of people, at all levels, in an international environment. You have excellent work management skills and the ability to understand assignments quickly and appropriately prioritize them are required You are able to respond to standard email correspondence in a timely and professional manner. The following skills would be highly desirable You have good knowledge of Dutch You are highly organized and detailoriented. You are able to work independently. You are able to communicate effectively and concisely. You have excellent interpersonal skills and the ability to establish and maintain cooperative working relationships to support the administrative efficiency of Legal Contract Department.
