The jobholder will mainly provide administrative and organisational support to the Executive Director, Heads of Department andor their teams. TASKS AND RESPONSIBILITIES The Administrative Assistants tasks and responsibilities will in principle include the following areas Supporting the daily running of the Executive Directors office or department of assignment Managing of calendarsagendas and mails, including categorising and redistribution Coordinating and organising meetings and events, including all logistical aspects Categorising and prioritising files submitted to the Executive Director or Head of Department Keeping track of work in progress and ensuring the follow up of assigned projects until completion Drafting correspondence, preparing relevant minutes, reports, statistics, notes, presentations, updating databases and proofreading of documents related to the activities of the department Providing assistance in document management tasks for both electronic and physical archives Facilitating internal communication and promoting information flow within the Agency Handling travel and accommodation arrangements and processing reimbursement claims in accordance with applicable rules Assisting in matters related to financial and human resources management, procurement, ICT and facilities matters Supporting the integration of new team members Taking on additional responsibilities as required in the interest of the service MINIMUM QUALIFICATIONS The selection procedure is open to applicants who satisfy the following eligibility criteria, on the closing date for application postsecondary education attested by a diploma, OR secondary education attested by a diploma giving access to postsecondary education and appropriate professional experience of three years Be a national of a Member State of the European Union or Norway Be entitled to his or her full rights as citizen Have fulfilled any obligations imposed by the applicable laws concerning military service Meet the character requirements for the duties involved Have a thorough knowledge of one of the languages of the European Union and a satisfactory knowledge of another language of the European Union to the extent necessary for the performance of hisher duties Be physically fit to perform the duties linked to the post APPLICATION PROCEDURE In order to consider your application valid, you are required to log in and submit application through the GSA erecruitment portal httpswww.gsa.europa.eugsajobsopportunities A full job description and further information on the application procedure can be found here httpsvacancies.gsa.europa.euJobsVacancyDetails1471

We are currently looking for a Secretary Administrative Assistant to support our customer in the Netherlands. Secretary Administrative Assistant Key Tasks and Responsibilities As part of the Dir of Human Robotic Exploration Prog. at ESTECESA, you will have the following responsibilities Daytoday support to Unit personnel regarding business travel arrangements, leave management, coordination of training Dealing with incoming telephone calls and information requests Analysing incoming correspondence and documentation and managing distribution of outgoing correspondence and documentation Provision of various logistic support to the Unit Arrivals office, phone, computer, security, access to databases, information systems and departures deregistration, etc. of Unit personnel Ordering of office supplies and maintenance of stationary Room and resources bookings for meetings andor events falling under the responsibility of the Unit Administration and handling of shipment of goods and express mail Tasks related to documentation management, distributionregistration of mail and documents Organization of agenda and of meetings Maintaining documents libraries for the Unit, including maintenance of change log, distribution lists, issue information notes to concerned users Maintaining and following up actions lists for the Unit and taken minutes of coordination meetings for the Unit Participation to organisation of events e.g. workshops, conferences as required Support to visitor service including access control, preparing visa applications, distribution of information material ESA site administration including periodical update e.g. daily of site schedule, updating and distribution of the site telephone list Participation to the preparation and the publication of internal and external documents, including editing and proofreading Data collection, extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis. Skills Experience You will have the following qualifications and relevant experience Several years of relevant experience Highly proficient with modern electronics office automation tools in particular Microsoft Office suite and electronic mailing preferably Lotus Notes Familiarity with ESA working environment in a similar position is a distinct advantage Fluency in English and Dutch is mandatory knowledge of another European language is an advantage This job is located in Noordwijk.
