Main responsibilities Your tasks in General Management Support and Controlling will be the following Support to the processes related to the main resources of the organizational entity i.e. budgets, manpower, staffing, including planning, execution and followup of the activities and resources budgets, manpower, missions, recharges of the Business Unit Support to the planning, preparation, execution and followup of activities and related procurement actions as relevant managed by the Business Unit and of associated progress in terms of output schedule resources Assessment and monitoring of the status of the procurement actions using ESA Corporate and local IT Tools including activity progress, maintenance of payment plans, correctness of financial charging, invoicing and payment Implementing all administrative actions related to procurement and contractual matters, including data entry in ESA Corporate e.g. SAP and local application as appropriate and monitoring of financial commitments and payment milestones, invoicing, etc. Maintaining up to date the related data, performing data analysis, identifying deviations w.r.t. planstargets and production of associated reports to the responsible management and to the concerned customers Assisting in the definition, preparation, implementation and maintenance of management support tools to ensure efficient execution of the related tasks Liaison with Contract, Budget and Payment Officers to ensure the coherence of the internal and external administrative data Contribution to the definition of new and improvement of existing related processes and tools and production of related documents Support to the risk management processes e.g. maintenance of risk register, monitoring of status of risk mitigationreduction actions for the Business Unit Support to the inventory and asset management processes for the Business Unit, including coordination of the proper registration of inventory items and assets, valuation of assets, in accordance with applicable procedures and instructions and the use of required tools Support to the maintenance of industrial return databases for the BU, periodic verification of the BU data against ESA system for consistency, monitoring and forecasting of industrial return values for the procurements of the BU with respect to agreed targets, etc. Ideal candidate You should bring a Masters in Engineering, MBA or an equivalent University degree from a recognised Institution of secondary studies or equivalent qualification in Business Administration, with at least 4 years of relevant working experience. Furthermore you should bring the following High level of initiate autonomy, and professional maturity to carry out complex tasks High level of responsibility SAP FICO Previous controlling experience. Good knowledge of Excel and ESA tools is considered as an advantage. Tasks and Responsibilities Under the authority of the Head of the Cost Centre Control Supporting Services Unit, you will prepare and implement the timesheet planning and control for the workforce of the Directorate of Human Spaceflight and Robotic Exploration HRE and for other cost centre control related tasks as specified below Ensure that the monthly manpower bookings by all staff into the timesheet recording tools are complete by the given deadline and compatible with the manpower deployment plan Follow up the nontimely delivery of manpower bookings through a defined escalation process Initiate and follow up a defined correction process in case of incorrect timesheet bookings Support the control and reporting processes by Cost Centre and Project Controllers, in particular at yearend and plan revisions during the year Perform front desk function for the coordination of the timesheet data in the planning systems of the Agency and the Directorate Check with the experts in the Business Unit Control Office on the setup and operation of the required software tools for planning and accounting of the timesheet information Perform periodic checks on the submitted timesheets for formal correctness and compliance with the plan and report anomalies Support the migration of the timesheet data from legacy tools to the new corporate software tools, ensuring consistency, coherence and completeness of all migrated data Support the planning, review and replanning processes and the monthly reporting of mission travel costs and mission pipelines, within the specified format and deadlines, provide special reports on request by ESA and support adhoc analyses Maintain, update and release the HRE Directorate organigrams with a granularity to SectionUnit level, administrate regular updates from the HRE Cost Workforce manager Controller and HR Support the processing of configuration changes in ESAs esap system by preparing, releasing and followingup change requests for master data under configuration control by ESA Corporate Directorates for Cost Centres and maintain applicable configuration lists for reference. Requirements You should bring a University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification in Business Administration, with typically 4 years of relevant experience and the following Experience in supporting control and reporting processes, in particular at yearend and plan revisions during the year. Previous experience in timesheet planning and manpower control. Experience in carrying out as many of the above described tasks as possible.
