Position Reference 900 We are currently looking for an IT Service Manager to work at ESA HQ in the city of Paris, France. ESA is leading a program of transformation of its Headquarters centered on three pillars Physical workspace With the renovation of HQ building, ESA has the ambition to offer a secure, safe and healthy working environment, to optimize wellbeing and working efficiency, whilst respecting the needs of employees in terms of workspaces, meeting rooms, videoconference studios, as well as restaurant, cafeteria and social facilities. Digital and smart services ESA has also the ambition to offer their employees and visitors the digital services that will enable them to work efficiently in the new working environment, a mix of open shared spaces and collaborative spaces, meeting and conference rooms. Ways of working In support to this new working environment, ESA will design new ways of working, such as wider teleworking framework, internal and external mobility, availing of efficient and stateofthe art digital services. The ESAHQ Nikis renovation program, awarded to the promoter Sogelym, started in September 2019 with a building delivery from the promotor by October 2022, and the HQ users moving into the new Nikis site by April 2023 after 5 months of installing IT equipments, furnitures, etc.. The renovation entails a complete redesign of the external faade, as well the redesign of the interior layout moving from closed offices layout into open shared collaborative workspace. A new conference center with three large meeting rooms for the Council and Program boards is also part of the project. Tasks and Activities The scope of work will include Supporting the project execution in each of its phases. Providing technical expertise relative to the 3 pillars of the project physical workplace, Digital and smart services and New ways of working. Definitioncollection of IT technical and service requirements for HQ project. Organizing leading progress meetings with other sub WP700 leads. Coordination IT activities sub WP700 leads, IT supplier, promotor. Coordinating POC and pilot phases. Technical Interactions with IT experts IT service leads. In charge of handing over to operation service bringing in line the solution. In charge of ensuring proper communication with the stakeholders of the project mainly ESAHQ representatives from the directorates e.g. DG services, FM department, etc.. Review technical documentation and provide feedback. Update of the project plan evolution activity plan. Coordinate all activities on adoption initiatives, and produce an adoption plan. Participate to Service Readiness Reviews for the acceptance of newly deployed services. Participate to the definition of communication campaigns. Coordination role for the execution of user training campaign. Coordinate with internal and external communication providers. Skills and Experience The following skills and experience are mandatory Masters degree or PhD in a relevant discipline, with at least 4 years of relevant working experience. Excellent verbal communication and presentation skills. Excellent critical and creative thinking and analytical skills. Excellent effort estimation capabilities, even based on minimum expressed requirements. Ability to manage multiple priorities under pressure, troubleshoot, and to meet short and longterm deadlines. Excellent organizational and planning skills. Thorough familiarity with word processing, spreadsheet, and project scheduling computer applications. Ability to work effectively as a manager, within a team and independently. Proficiency in the use of the MS Office 365 ecosystem functionalities. Previous experience with WAN, LAN, WLAN, Internet infrastructure workplace infrastructure DNSDHCP, print server, file server security infrastructure firewall, etc. GSM indoor infrastructure video conferencing equipments and software e.g. CISCO, Polycom, WebEx, TeamsSkype. Guiding and monitoring the application and procurement of EEE parts, materials and processes and controlling implementation of applicable requirements Produce reports on guidance provided, monitoring activities performed and status of compliance to applicable requirements. Monitoring the manufacturing, integration and test activities with quality assurance audits, mandatory and key inspection points, test witnessing and configuration inspections Produce report on activities performed with conclusion and recommendations. Defining the formal acceptance requirements and conducting the Acceptance Reviews of all contractual deliverable items Produce and implement plans for the preparation of the formal acceptance requirements, defining steps, inputs, outputs, participants, responsibilities, interfaces, and coordinating efforts of participants to produce resulting consolidated inputs to project documents. Produce also reports on the activities performed for conduction of Acceptance Reviews. Supporting the organisation management of the support from all PA disciplines Controlling NCR Waivers Problems Critical Items. Produce meeting agendas, check that all inputs are available for the NRB or CCB, check that all needed participants are involved, produce NRB or CCB minutes of meeting, followup on actions identified, ensure proper nonconformancewavierproblemcritical item closeout. Produce also reports on control activities performed. PA for the verification, qualification, acceptance delivery activities. Participating in progress meetings and CCB meetings. Participating in all project reviews, including safety reviews.
