Administrative Office Support and Internal Project

A Spanish leader company in Aerospace Engineering and Scientific services with more than 45 years of experience working for NASA and 35 years working for ESA seeks a candidate for a postion of Administrative Office Support and Internal Project. Specific Tasks Under this work package the contractor shall support the Earth Observation Directorate, primarily assigned to the MetOpSG project. Heshe will support the Programme Manager in managing the programmes internal project structures followup of project milestones in liaison with projects leaders integrate and provide overview of resource requirements interface with the project controller as required. Coordinate with and act as backup for Administrative Assistant to MetOp and Sentinel5 projects. Develop and maintain the integrated planning of the programme resources and calendar. Build up and maintain an office internal documentation system. Integrate all actions for the programme into a single action item list and ensure that the actions are being discharged in coherence with established procedures. Act as a point of contact for all documentationadministrative tools e.g. DMS, RID system, action item database, etc. used in the programme. Data collection and extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis. Prepare and assist in producing financial and programmatic status reporting as required. Assist in the preparation of project audits if and when required. Support users for retrieval of documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via internet, etc. Related support to project reviews. Compile the inputs from the responsible contributors for monthly reports and Quarterly Status Reports, for review and finalisation by the Programme Manager. Write the minutes of the internal management meetings, integrating the various inputs from the team leads. End to end responsibility for the management of promotional items linked to launch campaigns and ESA missions need assessment up to definition of distribution in close coordination with the respective external project managers. Tasks related to documentation management, distributionregistration of mail and documents. Analyse incoming correspondence and documentation and manage distribution of outgoing correspondence and documentation. Provision of various logistic support to the programme. Daytoday support to Unit personnel regarding travel arrangements, leave management, coordination of training. Dealing with incoming telephone calls and information requests. Organisation of agenda and of meetings. Room and resource bookings for meetings andor events falling under the responsibility of the Unit. The Contractor is expected to be or become familiar with the Agencys internal informatics tool needed for the conduct of hisher tasks. Requirements Proficient in MS Office packages with experience of high level Project Administration. Knowledge of ESA administrative and financial processes is a definite advantage. Highly proficient in modern planning and project control tools, office automation software and databases, such as MS Office including Excel. Experience with SAP is an advantage. Excellent planning and organisation skills and attention to detail. Good communication skills. Ability to work both autonomously and as part of a team within the boundaries of assigned tasks and a stringent schedule Initiative and motivation to perform to high standards in a demanding environment. Ability to establish and maintain effective working relationships with the outside world. Fluent in the English language spoken and written. Knowledge of another European language is an asset. We are currently looking for a university graduated engineer in remote sensing, oceanography, meteorology, physics, or equivalent, with at least 3 years of experience with satellite Sea Surface Temperature andor Ocean Colour data sets, or with microwave radiometry. The successful Candidate will support our customer in the development of methods for the calibration and validation of mission product data as well as the development of the monitoring functions of the product generating facilities within the Sentinel3 ground segment Marine Centre. Responsibilities Duties The activities will include engineering and scientific aspects related to the development of methods for the calibration and validation of mission product data as well as the development of the monitoring functions of the product generating facilities within the Sentinel3 ground segment Marine Centre. These methods and functions are setup partly in dedicated facilities, partly in a multimission context. The consultant will also contribute to other marine product chains. Emphasis will be on support of the optical mission product chains. The consultant will work in a matrix structure providing crossdivisional support and be hosted in Oceanography team of experts and scientists. The consultant will work at EUMETSAT Headquarters, located in Darmstadt, Germany. The tasks and responsibilities will include Preparation of test data and product readers Support to the development of tools for calibration andor validation Support to the development of tools for product processing monitoring Contribution to the verification and validation of product generation Contribution to the assessment of performance budgets Contribution to the execution of scientific support studies Participation in reviews The support will involve crossdivisional interactions and interface with experts in various disciplines system engineering, instruments, operations, science.
