Location Darmstadt Germany Duration Permanent Full Time Starting date January 2018 We are looking for a responsible person to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing our companys general administrative activities. The resource will support the Site Manager in the management of the German Permanent Establishment, and be the interface of the Project Control and Accounting and Finance Manager. Responsibilities Office management Answer and direct phone calls, organise and schedule appointments, plan meetings and take detailed minutes, write and distribute email, correspondence memos, letters, faxes and forms, order office supplies and research new deals and suppliers Employees support Be the point of contact between the Employees and the Local Administration Entities in order to facilitate the onboarding of the foreign newhired, book travel arrangements, submit and reconcile expense reports HR Support Activities collect timesheets, check them and forward them to the External Consultant for the salary Calculation, manage the Employment Contract and all the related data Financial Manage the incomingoutgoing invoices. Provide accounting and clerical support to the accounting department and to the External Consultant. Contract Management Support the Contract Manager in managing the contracts with the customers. Requirements As a minimum a High School diploma additional qualification in Accounting, Office Management, etc. will be considered as a strong preferable requirement Proven experience at least 35 Years as an administrative assistant or office admin assistant Fluency in English and German knowledge of Italian is an asset Proficiency in MS Office MS Word, Excel and MS PowerPoint, in particular Experience with ERP Tools i.e. SAP. We are looking for someone who is efficient and comfortable being a member of a team. The ability to multitask, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position. This includes liaising with the relevant Board Secretaries for matters pertaining to the meetings and to the relations with DelegationsMembers preparation of meetings and logistics, providing support for the duration of the meetings and for postmeeting activities organisational issues of meetings with Delegations monitoring and processing of official documents for the PBEO and other delegate bodies liaising with delegations and colleagues from other establishments to provide and obtain relevant information in respect to meetings and documents maintaining the delegates and advisors lists for delegate and advisory bodies, including the interface with DGs Cabinet attending Committee and Programme Board Secretaries meetings on behalf of the Directorate.
