For our activities in ESTEC, we are currently looking for a Secretary Administrative Assistant. Tasks and Responsibilities The provision of secretarial and administrative support to ESA organisational entities and Projects based at ESTEC. It includes the following tasks Support to project reviews, in areas such as documentation management, review setup, interface with IT support team Managing documentation system e.g. Eclipse, registration distribution exchange archiving daytoday support to Unit personnel regarding business travel arrangements, leave management, coordination of training dealing with incoming telephone calls and information requests analysing incoming correspondence and documentation and managing distribution of outgoing correspondence and documentation provision of various logistic support to the Unit arrivals office, phone, computer, security, access to databases, information systems and departures deregistration, etc. of Unit personnel ordering of office supplies and maintenance of stationary room and resources bookings for meetings andor events falling under the responsibility of the Unit administration and handling of shipment of goods and express mail tasks related to documentation management, distributionregistration of mail and documents organization of agenda and of meetings maintaining documents libraries for the Unit, including maintenance of change log, distribution lists, issue information notes to concerned users maintaining and following up actions lists for the Unit and taken minutes of coordination meetings for the Unit participation to organisation of events e.g. workshops, conferences as required. In addition to the above that correspond to standard activities in support to an organisational unit, the work may also cover the following tasks support to visitor service including access control, preparing visa applications, distribution of information material ESA site administration including periodical update e.g. daily of site schedule, updating and distribution of the site telephone list participation to the preparation and the publication of internal and external documents, including editing and proofreading data collection, extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis. Requirements The Key Person should have a completed secondary education and at least two years of work experience. An additional professional training in administrative and or clerical support is an asset. Appropriate skills and specific experience in the following fields Proficient in the English language, both written and spoken knowledge of another official ESA language is an asset For site specific functions fluent knowledge of the local national language is also required High level of flexibility as well as initiative and team spirit Easy contact with personnel and wellbalanced autonomy in the execution of the requested tasks Rigor, commitment and reliability in the execution of the assigned tasks Highly proficient with modern electronics office automation tools in particular Microsoft Office suite and electronic mailing preferably Lotus Notes Ability to communicate with industry counterparts in the execution of the project specific tasks Capacity to identify priority actions and handle high workload Familiarity with ESA working environment in a similar position is a distinct advantage. RHEA is currently recruiting an Administrative Assistant to support the Operations Manager in the Netherlands. The job will involve management of frequent travel arrangements of local staff, in addition to general administrative duties, answering employee queries, assisting with relocation as well as the preparation of various reports. Tasks and Activities Your primary tasks and activities may include Handles all business travel mission bookings for the employees in the Netherlands. This includes booking through a travel agent and directly on the internet following the clients and internal procedures. Responsibilities may include other regions in the future. Coordination and follow up of the employees expense claims following business travel. Liaising between the employee and finance on any issues. Assists in administering RHEAs timesheet system, provides regular reports of hours worked in function of the clients requirements and followsup on vacation days and other absences. Prepares draft reports for the client and internal reporting, such as Monthly mission reports Hours reporting Performance Statistics Provides relocation support to international employees moving to the Netherlands. Such support will include assistance with finding accommodation, registration formalities, setup of utilities as well as any other assistance to help newcomers settle in their new environment. Acts as a contact person for various employee queries and addresses them independently, or with the help of the Operations Manager. Handles general administrative office duties such as ordering office supplies, telephone answering, inoutgoing mail, etc. Supports the Operations Manager with ad hoc projects. Skills and Experience You must possess the following skills and experience At least 3 years experience in an administrative role, preferably in an international environment. Fluency in Dutch is a must. Ideally, a Dutch national is preferred. Excellent command of English, both written and spoken. Knowledge of additional European languages is an asset. Numerical accuracy and a good eye for detail. Strong organizational and administrative skills. Ability to work under stress and with short deadlines. Able to work autonomously.
