Administrative Assistant parttime Key Tasks and Responsibilities As part of the Mechanical Department at ESTEC, you will have the following responsibilities Supporting the Department Head and Assistant in the preparation of annual training and conference plans, including cost related issues, and monitoring the subsequent implementation Daytoday support to Unit personnel regarding business travel arrangements, leave management, coordination of training Dealing with incoming telephone calls and information requests Analysing incoming correspondence and documentation and managing distribution of outgoing correspondence and documentation Arrivals office, phone, computer, security, access to databases, information systems and departures deregistration, etc. of Unit personnel Ordering of office supplies and maintenance of stationary Room and resources bookings for meetings andor events Administration and handling of shipment of goods and express mail Tasks related to documentation management, distributionregistration of documents Organization of agenda and of meetings Maintaining documents libraries for the Unit, including maintenance of change log, distribution lists, issue information notes to concerned users Maintaining following up actions lists for the Unit and take meeting minutes Participation to organisation of events e.g. workshops, conferences as required. Skills Experience You will have the following qualifications and relevant experience Highly proficient with Excel and Power Point The ability to carry out assigned tasks autonomously with a strong sense of dedication and motivation Good interpersonal skills and the ability to work in an international working environment Fluency in English is mandatory knowledge of another European language is an advantage. Specific Tasks The incumbent will work within the ESTEC Local Affairs Service and will be responsible for the execution of processes related to the privileges and immunities according to the Host Agreement of ESTEC. The incumbent will be responsible for the administration concerning the registration with the Dutch Ministry of Foreign Affairs.
