Job description For our customer, ESAESTEC, we are seeking an experienced Administrative Assistant, to work at ESTEC in Noordwijk, The Netherlands. Responsibilities You will be assigned to the GALILEO project Physical, ICT Personal Security Unit NAVNXP. The specific tasks will be Collect, draft, revise and integrate information for the Communication Security database Maintain and distribute to the concerned external parties the list of companies having classified contracts with the European Union GNSS Programmes Administrate the Personnel Security Clearances and Requests for Visits with the support of the dedicated internal database Support the NAVNXP documentalists by processing all the administration related to the delivery of incomingoutgoing deliveries. This includes maintaining log of incomingoutgoing deliveries and follow up of acknowledgement of outgoing deliveries, collecting signature for the Dispatch Notes. Maintain the archive related to the attendees of classified meetings Maintain the archive of the above mentioned documentation needed during the yearly ESA Security Audit The incumbent shall be acting as backup to the documentalists in the unit in the following activities Reception, registration and distribution of incoming classified deliveries Decrypting and encrypting incoming and outgoing classified information using special software. This is a full time located at ESTEC, Noordwijk, The Netherlands. The requested start of work is June 2016. Qualifications Competencies The successful candidate will as a minimum have completed secondary education and professional training in administrative andor clerical support, have at least 2 years relevant working experience, as well as A university degree Bachelor in Business Administration or similar will be an advantage Strong attention to detail and an excellent command of the English language, especially written. Excellent administrative, organizational and communication skills. General interest in and understanding of programmatic and policy issues. Ability to generate highquality reports. Willingness to provide support when needed to the documentalists in the area of incomingoutgoing deliveries. Good level of computer literacy Microsoft Office software, particularly Word. Shehe will report directly to the Agencys ISS Interagency Coordinator, and is in close cooperation with the Secretariat of the Director General and ESA Directors, the assistant will be responsible for the Secretariat of the ISS Interagency Coordinator. The position is unlimited and full time and will be located on customer site in ESOC, Darmstadt, Germany. The possible start date will be 1st of July 2016. Very strong planning and organisational skills. The ability to work under pressure and according to tight deadlines. The ability to prioritise efficiently and effectively. Proficiency in the use of standard Microsoft Suite applications, Lotus Notes email and databases as well as SAP are required. The working languages of the Agency are English and French.
