For one of our main customers ESAESTEC, we are currently looking for a Documentalist, who will support the Directorate of Technical and Quality Management. Tasks and Responsibilities The activities cover the operations, maintenance and evolutions of the Documentation Management System DMS, including processes, processes and the use of supporting electronic documentation management tool, for a given projectprogramme or organisational unit. It includes the following typical duties Regular review of the status of documents in the different archives and where appropriate register this information in the DMS database Document registration, distribution and archiving, as well as provision of reproduction services Process configuration controlled document changes and of official papers relevant to the activities of the unit Supporting users for retrieving documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via Internet, etc Provision of paper copies of electronic documents on request, creation of electronic versions of documents Management of original files Related support to project reviews Support to enhancements of the document management concepts and of future improvements. Specific tasks Maintain DMS for TEC technology programmes, ensuring completeness and timeliness of deliverables Maintain web page content for TEC Technology programmes no technical maintenance Collaborate in the drafting of programme status reports. Experience and education University degree in Business Administration or Communications, with a minimum of 2 years of relevant experience Sound and proven experience in documentation management Good knowledge of the specific activities and organisation of the applicable configuration management working procedures and support tools are an asset Proficient in the English language, both written and spoken, knowledge of another official ESA language is an asset Good sense of contacts and communications, ability to interface at appropriate level with relevant actors within and outside of the Directorate Reliability, rigor and initiative in the execution of the assigned work Proactive attitude to solving problems, identify priority actions and to handle high workload Ability to work both autonomously and as part of a team within the boundaries of assigned tasks and stringent schedule Highly proficient in the use of resource management support toolsdatabases of standard office automation support software packages including advanced usage of Excel, Word, PowerPoint, Sharepoint Experience as user of SAP and in particular ECC and SRM modules and familiarity with relevant ESA corporate applications e.g. esap is an asset Ability to rapidly understand and adapt to ESA specific context and environment including ESA corporate IT applications. Background within the Space industry would be beneficial.
