Temporary Assignement Documentalist to the EDRS Project

Start date and Duration 29022016 to 29082016 For one of our main customers, ESAESTEC, we are currently looking for a temporary Documentalist to provide 6 months of support for the EDRS Project located at ESTEC in Noordwijk. Reporting directly to the EDRS Project Control Manager with a high degree of autonomy. Tasks and Responsibilities Administer of the projects documentation management system Eclipse and act as the owner of the project internal documentation management process Upload all project documentation into Eclipse in line with the project internal documentation management process including the assignment of coherent metadata Ensure assignment of coherent metadata to all documentation already residing in Eclipse Ensure formal approval of all relevant documents, e.g. CRs, CCNs, RFDWs and other contractual documents as well as their upload into Eclipse Ensure all EDRS documentation is managed in compliance with relevant IMS procedures and processes. Raise non conformances against the IMS procedures as required Implement encryption and storage in Eclipse of security relevant documentation in line with the projects documentation management plan Assist EDRS project team members and industry in Eclipse related matters Be the projects point of contact with Sapienza for maintenance of Eclipse Manage external receipt from industry and distribution to industry of documentation via the FTP server Implement KPIs related to the documentation management process within the project In relation to project reviews, upload review data packages into Eclipse, set up the reviews in Eclipse, distribute review documentation to reviewers and submit RIDs to industry partners. Experience and education University degree from a recognized Institution of secondary studies or equivalent qualification preferably in in Business Administration, Economics, Management or related field, together with an administrative background and experience in the disciplines related to the tasks under consideration. Experience in the Documentalist domain is preferred Excellent interpersonal and communication skills being very organized, methodic, showing attention to detail are required Reliability, rigor and initiative in the execution of the assigned work Proven sense of confidentiality Languages skills English, French is a plus other languages are appreciated Excellence in the use of standard office automation support software packages and of commercial database system and electronic mail Sound knowledge of the use of the corporate software tools used in the Agency. Documentalist Librarian for the ESA Galileo Programme

Unit The task covers the operations, maintenance and evolutions of the Documentation Management System DMS, including processes, processes and the use of supporting electronic documentation management tool, for a given projectprogramme or organisational unit. It includes the following typical duties Regular review of the status of documents in the different archives and where appropriate register this information in the DMS database. Document registration, distribution and archiving, as well as provision of reproduction services. Process configuration controlled document changes and of official papers relevant to the activities of the unit. Supporting users for retrieving documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via Internet, etc. Provision of paper copies of electronic documents on request, creation of electronic versions of documents, Management of original files Related support to project reviews Support to enhancements of the document management concepts and of future improvements The above tasks must be implemented in line with applicable configuration management processes and standards and in close collaboration with relevant CM authority. Experience and education Proficient in the English language, both written and spoken knowledge of another official ESA language is and asset. For site specific functions fluent knowledge of the local national language is also required. University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification in Business Administration or Communications as relevant, with typically 4 years of relevant experience The work associated to this position requires handling classified documentation.
