Main responsibilities The duties of this position covers the daily operation, maintenance and change control for records in the Navigation Directorates Documentation and Configuration Management System. This includes the participation in and to support improvements of the processes related to the use of electronic documentation and configuration systems, management tools e.g. for action tracking and other relevant IT tools. The documentation and configuration tasks are rendered by the CADM Office to given programmes, projects and specific organizational entities within the Navigation Directorate. It includes the following regular duties in particular Document registration, distribution and archiving, as well as provision of reproduction services of documents and media Regular review of the status of documents in the different archive and storage locations and align this information in the Documentation and Configuration Management System database Processing configuration controlled document changes and official papers relevant to the activities of the unit Generation and maintenance of documentation and configuration tracking lists Support to the management of the User Account List to the Directorates servers and services Support to users for entering and retrieving documents from various Documentation and Configuration Management related server systems internally and externally Liaising with industrial partners CADM officers and Documentalist for exchanging data and resolving documentation and configuration related issues Provision of paper copies of electronic documents on request, creation of electronic versions of documents and management of original files Support to all documentation and configuration related tasks for technical and nontechnical reviews Support to the Directorate Document Records Officer DDRO in discharging relevant functions The above tasks must be implemented in line with applicable Directorates Configuration Management processes and standards in close collaboration with relevant CM authorities. Ideal candidate The candidate should have a University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification in Business Administration or Communications as relevant, with typically 4 years of relevant experience The work associated to this position can require handling of classified documentation. The candidate shall confirm to be eligible and willing to apply to a Personal Security Clearance. The previous possession of a Personal Security Clearance will be considered positively Proficient in the English language, both written and spoken, knowledge of another official ESA language is an asset Experience in controlling andor management of activities and resources in aerospace industry. For some tasks knowledge of FinanceAccounting may be required Highly proficient in the use of modern activities and resource management support toolsdatabases of standard office automation support software packages including in particular advance usage of Excel MsOffice and in particular advanced use of Excel Experience as user of SAP and in particular ECC and SRM modules and familiarity with relevant ESA corporate applications e.g. ESAp is an asset Ability to rapidly understand and adapt to ESA specific context and environment including ESA corporate IT applications. Client and Location For one of our main customers ESAESTEC, we are currently looking for a Programme AdministratorDocumentalist who will give support to the MetOp Second Generation MetOpSG Programme, onsite at ESTEC. Tasks and Responsibilities General administrative support to the MetOp Second Generation MetOpSG Programme Coordination with and backup for the Administrative Assistant to the MetOpC and Sentinel5 Projects Processing of all incoming and outgoing documentation and correspondence, including use of Documentation Management Systems e.g. Eclipse for registration and distribution Support users for retrieval of documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via internet, etc. Maintenance of a consolidated action item list for the Programme and ensuring that actions are being discharged in coherence with the established procedures Support to the configuration management processes within the Programme Focal point for all documentation administrative tools e.g. DMS, RID system, action item database, etc. used in the Programme Close coordination with EUMETSAT administration team to ensure efficient and timely exchange of information Support to the preparation and conduct of internal and external audits on the Programme Preparation of minutes of internal management meetings, integrating various inputs Compilation of reports from inputs from various contributors for review and finalisation by the Programme Manager Organisation of the calendars for the MetOpSG team and the MetOp Programmes Manager Coordination and organisation of internal and external meetings and reviews, including room and resource booking Preparation of documentation and briefings for meetings, as appropriate Management of incoming telephone calls and information requests Preparation, coordination and organisation of the travel requirements and mission claims for the Programme team, ensuring optimum use of resources Administration of the leave records for the Programme team in the ESA SAP system Responsibility for the management and procurement of promotional items for the Programme, including for launch campaigns Timely ordering of office supplies Experience and education Bachelor Degree in Business Administration, Economics, Management or related field, together with an administrative background and experience in the disciplines related to the tasks under consideration. Highly proficient in MS Office packages e.g. Word, Excel, Powerpoint, etc. with experience of high level Project Administration tools for data documentation management and general administration e.g. SAP Excellent planning and organisation skills and attention to detail Excellent communication skills Initiative and motivation to perform to high standards in a demanding Environment Ability to interface at appropriate level with relevant actors within and outside the Department Ability to readily assimilate and coordinate input data and providing timely output to the hierarchy Reliability, rigor and initiative in the execution of the assigned work Proven sense of confidentiality Experience of Documentation management Knowledge of ESA administrative and financial processes is a definite advantage Experience with SAP is an advantage Languages skills Fluent English competence in other languages such as French, Italian, German, Spanish is appreciated.
