RHEA is currently recruiting a Documentalist to support the Information Management team at our clients premises in the Darmstadt, Germany. Tasks and Activities The scope of work will include Manage documentation according to existing working practices and procedures Support preparation of data packages, i.e. large numbers of documents for programme milestone reviews Check external documents against commitments of external contractors Import external documents into the EUMETSAT Documentation Management Tool DMT, including data packages in the applicable documentation folder structures Perform systematic checks on the documents metadata to assure all information are available to properly manage documents and their workflow Create and maintain folder structures in the DMT Manage baseline documentation under configuration control according to applicable Configuration Management working practices and procedures Maintainreview plans, procedures, working practices and templates as necessary Generate reports on documentation status, as requested Support users on implementing applicable documentation management working practices and procedures Contribute to the review of applicable documentation management working practices and procedures, and propose improvements as much as possible of general applicability Support related administrative tasks as requested. Skills and Experience The following skills and experience are mandatory Full secondary education as a minimum, with specific training or education in information, documentation or configuration management Two to three years of experience with a technical, administrative or librarian role Practical experience in management of technical information and documentation, preferably in an IT or engineering sector, in support to a large set of users Proven experience in applying information, documentation or configuration management processes Proven experience in the use of an electronic documentation, information or configuration management tool, implementing an electronic workflow Proficient knowledge of use of MSOffice, MSAccess, Acrobat and scanning methodology, including experience in managing complex documents structure, related templates, layout and formatting Experience with relational databases will be an advantage, as well as experience in managing information generated using engineering tools e.g., design tools, requirements management tools, etc. Fluency in English and a working knowledge of French is mandatory, together with good communication skills The following skills would be highly desirable Experience in Aerospace Industry. Requirements The Key Person shall possess a University degree in a relevant disciple and shall have experience with the following sound and proven experience in Documentation Management within a large organisation environment, sound and proven experience in Record Management, sound and proven experience in Document Review Management specifically large reviews involving a collection of documents, Eclipse Sapienza DMS is highly desirable, Sharepoint is highly desirable, Good knowledge of French fluent and English. Tasks and Activities The scope of work will include Support to the TIA Director Reporting directly to the Executive Secretary of the Director of Telecommunications and Integrated Applications, and with a high degree of autonomy, the postholder responsibilities will include Organising document registration, distribution and archiving within the office. Process configuration controlled document changes and of official papers relevant to the DTIA. Supporting DTIA office in retrieving documents from Eclipse, Daptive, ecpb etc. Management of original files Management of the directors contacts database In relation to the programme Boards ensure all documents provided to JCB are of high quality and under configuration control. Ensure the proper approval cycle of the documents up to DTIA level and obtained and registered. Ensure a close cooperation with the Office managing ecpb and submit all TIA documents to be issued on ecpb. Ensure all room documents are issued and distributed. Ensure all room documents are registered in the Eclipse tool. Ensure all DTIA documents are managed in compliance with relevant IMS procedures and processes. Raise non conformances as required. Provide documentation support to reviews and audits. Support to the Director and the TIA Executive during TIA Programme Boards and other relevant meetings. Ensure all documents are managed and available including room documents. These meetings takes place in Paris, ESA HQ and the expected frequency, maximum once per month, duration 23 days where the incumbent will be on mission. Specifically in preparation and during the TIA Programme Boards JCB Provide documentation, administrative and logistic support to ensure an efficient running of the Programme Board. These are currently Eclipse, Daptive and Sharepoint . Registration, filing and distribution of correspondence and other documentation within these three systems. Support to reviews and audits, and preparation of files as background for meetings and special studies Provide general support to the Integrated and Telecommunicationsrelated Applications Department Skills and Experience The following skills and experience are mandatory University degree from a recognized Institution of secondary studies or equivalent qualification in Business Administration, Economics, Management or related field, together with an administrative background and experience in the disciplines related to the tasks under consideration. Solid experience in the assistant domain is mandatory. Excellent interpersonal and communication skills as well as very good qualities of order, method, tact, initiative, and in particular discretion are required. Ability to interface at appropriate level with relevant actors within and outside the Directorate Office. Ability to readily assimilate and coordinate input data and providing timely output to the hierarchy. Reliability, rigor and initiative in the execution of the assigned work. Proven sense of confidentiality. Languages skills English, French other languages such as Dutch appreciated. Excellence in the use of standard office automation support software packages and of commercial database system and electronic mail.
