For our activities in ESTEC, we are currently looking for a Documentalist. Tasks and Responsibilities The key person shall provide support to Product Assurance Manager of the EarthCARE Project. However, support will also be required to other Earth Observation Projects within the Earth Observation Projects Department. In that respect, heshe is required to assist the EarthCARE Product Assurance Manager in a variety of tasks, including Regular review of the status of documents in the different archives and where appropriate register this information in the DMS database. Document registration, distribution and archiving, as well as provision of reproduction services. Process configuration controlled document changes and of official papers relevant to the activities of the unit. Supporting users for retrieving documents from local DMS, DMSs from external partners andor industry, out of paper archives, other sources like ESTEC library, scanned documents on CDROM or via Internet, etc. Provision of paper copies of electronic documents on request, creation of electronic versions of documents. Management of original files. Related support to project reviews. Support to enhancements of the document management concepts and of future improvements. Establish and maintain the Configuration Item Data List of documents in English for the EarthCARE Cloud Profiling Radar CPR instrument. Establish and maintain the list of communications documents, minutes of meeting, formal emails, informal emails linked to each CPR Non Conformances NCRs visible to ESA. Maintain the records for the identification, status and closure of project actions agreed with the Prime Contractor, and regularly distribute internal status reports of these actions. Maintain the records for the identification, status and closure of actions of the EarthCARE project visible to ESA ESA, JAXA and Airbus DS, and regularly distribute internal status reports of these actions. Maintain the status list for all Requests for Waiver RFWs requiring ESA approval, and consolidate the comments by ESA technical reviewers for these RFWs, and regularly distribute internal status reports for RFWs. Reconcile the reported status of the Prime Contractor with the ESA RFW status. Additional support may be required within the Earth Observation Project Department for other programmes such as Copernicus, in the domain of controlling area. In particular Implementation and administrative followup of project procurements actions Participate in CCBCRB processes, if required Maintain Project databases and support the Project in maintaining the Document Management System, if required Support the Product Assurance Manager in the introduction of new procedurestools, if required Assist in the preparation of project audits if and when required. The key person is expected to be or become familiar with the Agencys rules and regulation for tender actions, placing of contracts and the related monitoring, control, reporting and Change Management on industrial contracts and ESA internal expenditures. He she is also expected to become proficient in the use of the Agencys internal informatics tools needed for the conduct of hisher tasks. The candidate will be required to interface with colleagues in the Project teams, in Earth Observation Projects Department as well as with the Finance and Procurement Departments. In addition there will be interfaces with personnel in the European Aerospace industry. The Product Assurance Assistant will report to EarthCARE Product Assurance Manager. He she will however be delegated to work on other EOP Projects, to provide direct support to the project specific Product Assurance Manager Project Controller when required. Requirements In addition to having a University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification in Business Administration or Communications as relevant, the key person shall have Several years of experience of project or financial control Experience in controlling andor management of activities and resources in aerospace industry Highly proficient in modern project control tools, office automation software and databases, such as MS office including Excel Experience with SAP knowledge of esap would be an asset Excellent planning and organisation skills and attention to detail Good communication skills Ability to work both autonomously and as part of a team within the boundaries of assigned tasks and a stringent schedule Initiative and motivation to perform to high standards in a demanding environment Ability to establish and maintain effective working relationships with the outside world Very good knowledge of the English language spoken and written knowledge of other languages is an asset. Knowledge of ESA administrative and financial processes is a definite advantage.
