Position Reference 098 You will have the opportunity to provide support the Earth Observation Directorate, assigned to the Copernicus Space Segment projects. You will be delegated to work on specific Projects, and as such you will liaise on a daily basis with the various members of your Project and work with the Product Assurance Manager and Project Manager. Tasks and Activities The scope of work will include Data collection, extraction from different Corporate applications e.g. PRISMA and from various internal sources and data consistency checking and coherence analysis. Skills and Experience The following skills and experience are mandatory You have a University Degree Bachelor from a recognised Institute of secondary studies or equivalent. E.g. qualification in Business Administration or Communications as relevant. You have a Proficient in MS Office packages with experience of high level Project Administration. You have excellent planning and organisation skills and attention to detail. You possess good communication skills. You are able to work both autonomously and as part of a team within the boundaries of assigned tasks and a stringent schedule. Initiative and motivation to perform to high standards in a demanding environment. You are able to establish and maintain effective working relationships with the outside world. You are fluent in the English language spoken and written. Knowledge of other European languages is an asset. Position Reference 053 The task covers the daily operation, maintenance and change control for records in the Navigation Directorates Documentation and Configuration Management System. This includes the participation in and to support improvements of the processes related to the use of electronic documentation and configuration systems, management tools e.g. for action tracking and other relevant IT tools. Support to users for entering and retrieving documents from various Documentation and Configuration Management related server systems internally and externally. Liaising with industrial partners CADM officers and documentalists for exchanging data and resolving documentation and configuration related issues. Support to all documentation and configuration related tasks for technical and nontechnical reviews. Support to the Directorate Document Records Officer DDRO in discharging relevant functions. Skills and Experience The following skills and experience are mandatory You have a University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification with substantial coverage of configuration and documentation management matters. You have a minimum of 4 years of relevant experience in documentation management. You are fluent in English. We are looking for a candidate who is competent in maintenace and evolutions of the SharePoint based documentation management system, including processes and the use of supporting electronic documentation management tool. Typical duties includes Regular review of the status of running contracts and internal activities of interest Gathering of deliverable documents from Technical Officers and inhouse experts Document registration, distribution and archiving, as well as provision of reproduction services as needed Handling confidential information and access rights of users with respect to these deliverables Processing official and internal papers relevant to the activities of the Division Maintenance of accurate records of information in Excel and in SharePoint Management of original files and creation of electronic versions of documents Build up and maintenance of Division document registrationfiling system according to QMS standards, acting as a point of contact for all documentationadministrative tools e.g. DMS, RID system, action item database, etc. used by the Division ESA Earth Observation. Experience in Document Management, planning control, and office automation in Space industry, Space agencies and international organizations. Good knowledge of Advanced planning control tools, office automation SW and DBs. Ideally also ESA administrative and financial processes, MS Office, Share Point, SAP. To complete the profile Excellent planning and organisation skills and attention to details, good communication skills, ability to maintain effective working relationships with the outside world and to work autonomously. Fluent English spoken and written, knowledge ot other languages is an asset. General interest in and good understanding of technical, programmatic and policy issues of ESA Earth Observation programmes.
