Tasks and Responsibilities The key person will focus her activity on the following tasks Support to Inventory Administration for the Erasmus Centre HSOK o Maintenance, operation and enhancement of Erasmus databases Hardware inventory database Software inventory database Promotional inventory database HighBay and external events models database. Support to the Organisation of Space Exploration activities HSOK o Support to events in the framework of the Lunar Art Workshop o Support to the establishment of an ontology of creative products within the framework of the Space Exploration Interactive Documentary. Support to CURSAIT Services Administration for HSOESTEC HSOBO o Act as HSO user representative for CITI service requests at ESTEC and associated sites excluding ESOC, EAC and ensure that services are properly and timely requested, implemented or revoked and act as a point of contact visavis the IT Department for queries related to the above o Operate and maintain the CURSA database for above services and monitor any optional services used by HSO, perform regular checks and service request updates, as required o Followup on the expected level and cost of services and highlight identified deviations. Support to monitoring of Service Level Agreement and discretionary servicescost for HSOESTEC HSOBO o Followup and report on the evolution of the HSO Service Level Agreement, in particular verify that the global level of services evolves consistently, highlight any deviations or inconsistencies o Provide monthly reports on usage and cost of such services and usage of any other discretionary services charged by the IT Department o Verify the correct implementation into esap of the IT recharges, highlight deviations or inconsistencies for all HSO, process requests for mobile telephonymobile computing equipment ipads, iphones etc., deliver and collect mobile devices tofrom users and maintain an itemuser list o Followup on the procurement and delivery of small ITrelated procurement items at ESTEC o Maintain and provide, on request, a list of HSOinternal instructionsguidelinesagreements to ensure that costs remain within the scope of applicable rules and regulations. Requirements Applicants should have a university degree or an equivalent qualification in a relevant field together with appropriate skills and specific experience in the following Proficient in the English language, both written and spoken knowledge of another official ESA language is and asset For site specific functions fluent knowledge of the local national language is also required High level of flexibility as well as initiative and team spirit Rigor, commitment and reliability in the execution of the assigned tasks Highly proficient with modern electronics office automation tools in particular Microsoft Office suite and electronic mailing preferably Lotus Notes Ability to communicate with industry counterparts in the execution of the project specific tasks Capacity to identify priority actions and handle high workload Familiarity with ESA working environment in a similar position is a distinct advantage Experience with as many tasks as possible from the ones mentioned above. In addition to the above that correspond to standard activities in support to an organisational unit, the work package may also cover the following tasks Support to the Project Review Process Support to visitor service including access control, preparing visa applications, distribution of information material ESA site administration including periodical update e.g. daily of site schedule, updating and distribution of the site telephone list Participation to the preparation and the publication of internal and external documents, including editing and proofreading Data collection, extraction from various Corporate applications e.g. SAP, PRISMA and from various internal sources and data consistency checking and coherence analysis.
