For our activities in ESTEC, we are currently looking for a Secretary Administrative Assistant for a period of 9 months with possible extension of contract. Tasks and Responsibilities The Key Person shall provide support to all organisational aspects of the ExoMars Project. Standard tasks like meeting and travel organisation, transport and logistics are complemented by specific tasks to cope with the peculiarities of the services needed in the ExoMars Project office. As such it includes the following main tasks Administration Support Give support to the Project Secretary in all matters of administration for the project, which includes Mission and Leave Management and Logistic support. Maintaining the project document and correspondence templates. Assist with correcting layout, signature handling and finalising for distribution or admittance to DMS. Support the Maintenance and coordination of the utilisation of the project dedicated file server P drive for common use. Maintain contact with ESRINSciencePrisma helpdesk regarding access of requests etc. Establishment and maintenance of access to the common Project Calendar. Documentalist Support Give support to the Project Documentalist. Assist with the registration and distribution through the project Document Management System DMS of all incoming and outgoing documentation for the ExoMars Mission. Support the handling and following up of documentation exchange with the Prime Contractor and Roscosmos and JPLNASA. Others Ad hoc support to project events for organisation, logistics and execution. Requirements Applicants should bring the following education and experience Completed Secondary Education or a professional training in administrative techniques secretarial related activities At least 2 years of experience within a similar role Fluent in English knowledge of another member state language is an asset Highly proficient in MS office, Lotus Notes and other personal computer software Good organisation skills, good communication skills Ability to cope with pressure and work in a team. Please note that this is a fixed term contract, with a start date of 01092015 and an end by end of May 2016 possibility of extension of the contract is given. Skills and Experience The following skills and experience are mandatory University degree Bachelor from a recognised Institution of secondary studies or equivalent qualification in Business Administration or Communications as relevant, with typically 4 years of relevant experience. Experience in workforce management processes The candidate should possess good analytical and reporting skills with the ability to manage large and complex data sets and have an affinity with manpower control.
